Start with the cooler and the facility

Send the cooler model, serial number if available, storage arrangement and installation location. Describe the monitoring already in place and what you need the new arrangement to do.

For an existing cooler, include photographs of the controller and equipment identification plate. A new monitoring request should not assume that every controller or older refrigeration system has the same connections.

Define the information your team needs

State which conditions you want to monitor and who will review them. Ask the written proposal to identify the sensors, controller connections, notification methods and reporting functions that are actually included.

Also ask about any required network connection, account, subscription or separately purchased equipment. Do not assume a feature is available for your configuration simply because it appears in a general monitoring discussion.

Plan the response, not just the notification

Identify the staff responsible for reviewing a notification and the facility procedure they will follow. Ask about the proposed arrangement during power or network interruptions and how service or support requests should be handled.

The equipment selection does not replace your facility’s storage procedures or establish regulatory compliance. Confirm the applicable requirements with the responsible facility team and keep the approved monitoring arrangement with the equipment records.

Request a defined configuration

Ask for the current equipment list, compatibility requirements, installation responsibilities and support terms in writing. Review those details alongside the cooler and the facility’s operating procedures before approving the order.
